To support the rollout of a new Participant Scoreboard system in our apartment, I drove an interal train-the-trainer program that introduced instructors to the updated procedure for recording learner performance and progress. Because this process occurred across multiple stages—both before and after training sessions—it was essential to communicate expectations in each stage and provide user-friendly resources that promoted consistent adoption.
Training Deck (PowerPoint): I created a facilitator deck to structure a Virtual Instructor-Led session, highlight key steps in the procedure, provide resources in each step, and ensure information was presented in a clear, digestible format.
Learner Handout (Adobe InDesign): To reinforce learning and support future reference, I created a one-page handout that listed the timeline and key steps. This helped instructors access the most important information at a glance whenever needed.
Personalized Reminders (Power Automate): Each instructor has a unique course start time; therefore, their timelines and to-do lists vary. I designed an automated email system using Microsoft Forms and Power Automate. This system delivers personalized timelines and task lists via email to learners, aligned with each of their specific start dates, providing tailored support and information that is tailored to their situation.
This blended solution—combining live training, job aids, and automated reminders—helped streamline system onboarding, reduce errors in procedure execution, and support long-term adoption of the Participant Scoreboard system. Feedback showed that trainers felt more confident consistently applying the procedure, which in turn support ongoing learner performance tracking and effective data collection over time.
